The candidate will involved in managing and implementing a wide spectrum of office administration, financial functions, building/office maintenance, tenancy issues, procurement, customer services and report writings.


The candidates should also possesses the following traits:-

Female preferred and pleasant looking
Age : 23 - 28 years old
Minimum 3-5 years of relevant experience and with a unversity degree in Business Administration
Strong administrative and coordination skills
Possesses initiatives and excellent interpersonal and analytical skills
Able to work independently in a dynamic environment and work well under pressure.
Possesses good computer skills and basic accounting knowledge.
Must have high expectation of quality.
Monthly Remuneration - up to USD 300-400/mth
Working Location - Prime Centre

ESSENTIAL DUTIES AND RESPONSIBILITIES

Develops positive relationships with Client’s and vendors/suppliers/contractors. Responds to problems and concerns that are recurring or of a sensitive nature; enforces rules and regulations.
Ensures high satisfaction level of all Clients’. Ensures quality and timely service delivery to the Client, and overall quality assurance.
Researches new programs or processes to improve quality/costs for Client. With the Deputy Business Manager for Asia Pacific, develops and implements recommendations to position Client facilities at their highest and best use. Assists in the preparation and presentation of cost efficiency analysis and energy management strategies.
Prepares scheduled reports, Including;
Facility Operations Report Card
Weekly Invoice Batch Template
Monthly Accrual Report
Monthly Variance Report
Capacity vs. Occupancy Report
NPC/JPC Budget Preparation
Churn Report
Headcounts & Annual Leave Entitlement and Accrual Report


Inspects facilities on a routine basis. Provide technical advice to Client and staff.
Assists the Deputy Business Manager for Asia Pacific to develop and/or maintain safety programs for Client's needs (storm, evacuation, first aid, etc.). Ensures safety of work practices and procedures of CB Richard Ellis, Corporate Facilities Management employees and contract employees.
Oversees all vendor services.
Works together with Project Manager in moves and relocations and project management.
Complete minor repair and maintenance construction projects.
Developing specifications for repairs, modifications, and equipment requirements.
Planning, implementing, and coordinating automated office and building control systems.
Develop and implement preventative maintenance program.
Interfacing with governmental regulatory agencies to ensure compliance with various code/building requirements.
Administering all contract services relating to the operation and maintenance of the premises including janitorial, security, parking, engineering, etc..
Developing an annual facility budget including direct and indirect contract service expenses, preventative maintenance costs, energy management expenses and capital items.
Managing special fire/life/evacuation programs per client request.
Serves as on-call for emergency needs after hours, on a rotating basis.
Act as a Company ambassador in communicating the Company’s image as a high-quality MNC to all clients, callers and visitors.
Responsible for maintaining the housekeeping of the reception foyer, lift lobby, meeting rooms and adjacent areas (hereafter referred to as “Reception Areas”). Ensure that the Reception Areas are in impeccable condition at all times and police the image of these areas.
