Secretary (Executive)
After successfully passed the 6-months probationary period, I was undergone speed test, correspondence exams, and personal interviewed conducted by Dr. Abdul-Rahim A. Almeer, Dean of Faculty & Personnel Staff affairs of KFUPM and the result of interview is very impressive that en route to my latest assignment as the executive secretary of newly established Aerospace Engineering Department of KFUPM and first ever department in the KFUPM and in the Kingdom of Saudi Arabia and the entire Middle-East.
Entertained visiting students from other school & Universities in the Kingdom.
Arrange & taken minutes of Departmental Council Meeting every end of the month.
Requesting office equipment, stationeries, teaching aid materials, Labs equipment and all others needed materials in the department using issue requisition form and Memorandum letter address to the Director of Office Services, Director Storehouse, Labs Director, Printing Press and other related educational support department of KFUPM.
Disseminating guidance and instructions from the Department Chairman to all administrative, which are Staff; Secretaries & Messenger and Technical; Lab Engineers & Technicians.
Answering phone-calls, typing MEMOS, sending E-mail, prepared after semester and Annual academic reports.
Arrange meeting for clarifications regarding scholastic matters between the chairman and the students, faculties, visitors and staff, Lab engineers, and Technicians.
Working student's records such as; transfer of credit, change of major, academic plans, degree plans, flow chart and requesting copies of students Transcript of Records and Diploma's/Certificates from the Registrar Office.
Maintained records of current students who have aerospace engineering major (B.S., M.S. and Ph.D. candidate).
Prepared Slide presentation whenever the department hosted the KFUPM Departmental Meeting, Engineering (applied & science) monthly Meeting and Faculties Meeting with the M.S., Ph.D. students.
Scan a lot of pictures, figures, letters, orders and all required documents inserted to the students' exams, and departmental reports, etc...
Prepared the A.E. applicant's for Faculties, Lecturer, Lab Engineer, Secretaries, and Technician for the chairman evaluation's before making transmittal letter submit to the Office of Dean, Faculty &Staff personnel affairs.
Perform extensive duties and responsibilities in this New Department of KFUPM as the first and only secretary in the early days, Dr. Ahmed Z. Al-Garni, the First and current chairman of this department we worked as a team until we had successfully completed the faculty members, Lecturers, Lab Engineers, Technicians and supporting staff and messenger.
Aerospace Engineering Department started with few students and now surpassing the general standard quota of a department for B.S. students, and M.S. students.
Secretary (support)
Upon reported to duty I was immediately joint the four current administrative staff of Mechanical Engineering Department & while am worked under probationary period, I was assigned as supporting secretary and perform the following duties;
Familiarized how to operate the 6 pcs. 3ft U.S. made luminous copy machine, and Grocyra Mita point Source Ti 820 Telefax Japan made.
Oriented on how to use the Alcatel Premium reflexes Digital Executive telephones that can manage to transfer calls, store numbers, send & receive messages and can access e-mail/internet.
Familiarized the department minutes of the meetings to know the different committees and adopt the department rules.
Learned how to type exams in using Equation editor 3.0 and Math type 5.0 and study the basic AutoCAD-14 which is needed in my job.
Working M.E. Course files by filing the fall, spring, and summer session inserted it to a huge still filing Cabinet, Shelves, and Cupboard in series.
Adding the B.S., M.S., and Ph.D. students documents in their respective files.
Systematically improved the M.E. files and change level into computerized and arrange in series with Tab & indexes.
Perform Labs inventory of equipment and furniture's.
Research Aerodynamics, Propulsion, Supersonic Wind Tunnel, Gas Turbine Engine, Flight Simulator and components of materials through the Internet for the purpose of Labs education, experimentation, measurements and of purchasing upon contacted the manufacturing companies of such Labs equipment through e-mail, Fax, and Telephone conversation.
