IT projects managed include:-
Support Services Projects
· IT Standardisation - detailed office assessment to determine status of all E&Y offices, and implementation of standards across all hardware and software across E&Y.
· Enterprise Policy Management – established a managed user environment to control with rules-based logic in which applications, settings, network resources, databases and other IT assets that a user can use. This inclusive of what standard hardware and software loadset should use, standard settings in their computers, maximum logon attempts, mailbox and network personal folder quota etc.
· Helpdesk Management System – it is an online support system enabling helpdesk team to log in a particular user’s problem/request. This system also have a module that allow user to log in their problem on-line. The issue logged will be attended by a daily helpdesk monitor who is responsible to route the issue to appropriate support staff. After the issue is resolved, the support staff in-charge will update the system. It is also used by myself as a support staff performance/productivity monitoring tools because it can provides statistic information such as average time spent in each issue, most frequent problem or request reported. Besides, it also assisting me to monitor and ensure all issues are attended satisfactory whereby if an issue is not attended or closed for a certain period of time, a mail of notification will send to me for further action. This system also acts as a knowledge-based system for support staff and user reference.
· Computer Asset Management System - an in-house developed electronic system to track all computer related equipment and software installed licenses. Computer related equipment inclusive of servers, PCs, notebooks, hubs, routers, printers, scanners etc including assigned, loaned, lost and discontinued assets. This system also track history of owners, upgrade and repair history. Also developed queries to generate desired reports from SMS’s SQL database to enable support staff to use those reports to conduct half-yearly asset audit.
· Automated Software Management & Distribution – established an electronically supported life cycle driven asset management process for both hardware and software and ability to install on a client device without having to physically visit each device via SMS’s software distribution functions. This project included collection of user and movement information, specification and configuration of the asset via SMS’s inventory collection.
· Tampered-proof Tagging & Identification System – this project incorporated a secured tagging system and user identification system for all hardware assets.
· Fix Centre – this project had developed and implemented a rules-based diagnostic system for hardware and software problem resolution. This included identification of various utilities and tools to assist in resolving problems quickly.
· IT Booklet – developed a guide to assist users in resolving commonly known problems while using company’s computer related system.
· Support Maintenance – to conduct periodic computer maintenance on a half-yearly basis as a form of preventive maintenance. This project worked with vendor on maintenance contract for computer warranty on faulty items and loan unit. The contract is a national contract signed with an integrated support vendor to ensure all computers and IT equipment are adequately maintained for operability. Also in this project I had implemented hot loaner computer to users while waiting for their computer to be repaired and established shared or common computer in each practice area.
· Client Hardware Event Management – developed and implemented tools to identify and communicate hardware-based abnormal operating and performance conditions for corrective measures.
· Server-based Client Configuration Image Control – this project created specific client configuration of applications, settings and privileges on a server and should the client computer failed due to system problem, the client image may be restored to overwrite the existing one.
· Locked User Environment – this project was implemented to preclude user from changing settings and installing unauthorised software in his or her computer. This inclusive of researching some tools like Policy Editor, Tweak All Freeware Registry Editor, Tweaki, Regwatch and Zero Administration Kit.
· Global Loadset 2000 Deployment – developed E&Y Malaysia standard loadset images based on E&Y International Global Core Loadset 2000 for various departments. Conducted research and testing on new standards for computer to support the new Global Loadset 2000. Determined new server and computer client policies on access control, backup and recovery, maintenance, software installation and hardware change management procedures. The deployment process includes upgrade existing computers that meet the new loadset technology requirement for all departments and outstation offices. This inclusive of replacement and disposing existing computers that do not meet the minimum technology requirement. After that, user data backup and cloning from master images to individual computer has taken place, followed by user data restoration. Also developed new loadset’s CBT programs, user guide, pre and post deployment trainings for all users.
· Outstation Offices Service Level Agreement - determined and established service level for all their IT operations and services rendered and a performance measurement system. The service level will be measured against timeliness, cost effectiveness, process efficiencies and productivities, risk and overall user satisfaction.
Network Services Projects
· Corporate Network Upgrade - upgraded E&Y head office's IT systems from 3Com CoreBuilder 5000 switch to Intel 550T and Cisco Catalyst 6500 switches based on network performance and capacity.
· Network & Support Management Systems - managed network traffic and capacity, IT asset management, support services and software distribution and licensing.
· Disaster Recovery Plan - focused on minimum down time to the existing network systems and introduced redundancy to systems. Studied existing network systems, proposed a DRP and procedures based on current network systems and equipment used and implemented the plan. The plan inclusive of precaution/prevention steps need to be taken to isolate and eliminate disaster of all means from affecting continuation of MIS services. It has also included how MIS services can quickly return to normal operations. As part of this project I had implemented a centralised UPS for MIS Computer Network Centre and at all central network hubs in KL head office.
· Wide Area Network via COINS (COrporate INformation Superhighway) - connected 6 offices using COINS virtual leased line instead of dial-up.
· Internet Proxy Server & Mail Gateway - converted from the old proxy server to Microsoft Proxy Server 2.0 for manageability and performance using COINS connectivity. This project also diverted all Internet mail from EY/Link (E&Y leased line to other member firms) to local gateway due to cost issues. In the second phase of this project, had pilot tested and migrated Internet access from ISDN dial-up to Telekom’s SDSL technology for all users in KL head office.
· Intranet (InnerSpace & KWEB) - enabled all staff access to E&Y Intranet without causing network congestion.
· E&Y Homepage - enhanced the homepage in accordance to E&Y International requirements using FrontPage.
· Data Security Management – established logical protection of organisational data from corruption, theft or compromise. Also ensured privacy, accuracy, property (anti-piracy) and accessibility of user and firm’s data and information.
· Outstation Offices' Network Upgrade - upgraded servers, network equipment and migrated workgroup to network printing at outstation offices due to current inadequacy and to support additional functions such as Solution 6, InnerSpace (E&Y Intranet) and knowledgebases. This inclusive of building a managed computer room to house servers, racks, UPS, redundant and high performance network backbone devices. There are redundancy added into servers i.e. RAID1 & 5, redundant power supply and network card and to increase hard disk capacity to handle more applications, data and directories. Also in this project had migrated outstation offices individual Internet accounts to a corporate account using Telekom’s SDSL technology for Internet access.
· Outstation Offices Software Control & Distribution – implemented a software asset management system that can provide up-to-date detailed information on all server and client software for version control, licensing and access control.
· Outstation Offices Network & Server Management – implemented preventive maintenance program for network and server, health check such as hardware and connection fault testing, performance testing, configuration and optimisation.
Training Services Projects
· Electronic Firm and MIS Newsletters - developed an electronic newsletter each for E&Y Malaysia and MIS. The MIS newsletter is to carry out electronic publishing on IT happenings firm-wide including on-going development, office tools, opportunities, Q&A, training materials and schedule, events, IT trends and IT performance. The E&Y Malaysia newsletter named Insight covered the latest happenings within the firm.
· MIS Training Programme - developed training programmes for MIS personnel and IT co-ordinators relating on technical and non-technical knowledge based on internal and external training. This includes periodic training programmes for area IT co-ordinators to acquire minimum IT skills set by MIS for internal development. The progression technical training covers network and systems, support services, PMS/development and to be conducted internally (classroom, NetG & Keystone CBT and video-based trainings) and externally. The non-technical training includes internal HR training for writing skills, communication and project management.
· End User Training Programmes - conducted firm-wide for newly hired staff in other departments other than MIS. This programme is to provide new staff with the technology and applications used in the firm and IT rules and regulations.
· IT FAQ and IT Alert Knowledgebases – developed these two repositories to store users’ frequently asked questions & answers related to IT issues and weekly IT Alert’s tips & tricks. The objective of the former is to enable users to resolve their own problems first by referring to solutions prescribed in the knowledgebase before calling up helpdesk. Whereas the latter is sent to all users once every week to alert all users some useful IT tips and tricks.
MIS Related Projects
· Y2K Compliant Exercise - focused on ensuring that all operating hardware and software, and network systems are free from the millenium bug. Besides handling elements like computer hardware, applications software, technical software and data and telecommunication network, I also looked into the legal agreement of it, such as the issues of management liabilities, software supplier warranties, software expiry date, password and licenses, service provider agreement and liabilities.
· Electronic IT Forms – it is a suite of IT forms frequently used by users to electronically apply or request certain IT services from MIS. These include User ID creation/maintenance, software installation, network folder creation/maintenance, external and internal knowledgebases access rights and replications. This system routes a particular user request to user defined approver(s) and allow system and network administration team to track and response to that request.
· MIS Inventory Database – developed a control system to track all borrowing and returning of MIS media inventory (CDs and magazines), hardware inventory (MIS loan/spare units), training media, archived media inventory (media which are obsolete and awaiting disposal) and stationery.
· MIS Document Control Database – developed a document and software control system to consolidate all MIS documents and software. This system controls the latest versions of all MIS documents and software. It also enables a MIS staff to search and locate a particular document or software very quickly.
· MIS Knowledge Sharing – conducting knowledge sharing sessions on a monthly basis. The knowledge sharing encompasses various technical areas and experiences in supporting users, maintaining network infrastructure, development and so on.
