JOB DESCRIPTION
Commercial / Procurement Management
- Visiting clients on a regular basis to introduce company products and services
to obtain trade enquiries and to service the clients on a regular basis
- Sourcing of suppliers both locally and overseas
- Sending out enquiries
- Verification of quotation from the suppliers to check if the quotation is in
conformity with clients enquiry specifications
- Seeking clarifications with the supplier and clients as regards technical
specifications and compliance with international standards
- Pricing of quotations from sub-contractors/ suppliers with the approval of the
Senior Management
- Preparation of quotations
- Maintenance of enquiry register and quotations register
- Follow up with clients on all pending quotations
- Preparation of order confirmations
- Liaison with Finance Division to effect payments to overseas suppliers.
- Monitoring delivery and progress of delivery and follow up with the supplier
- Co ordination of clearing materials from the port/ airport and delivery on
site of goods.
- Preparation of delivery orders and invoices
- Follow up on payments and credit control duties
- Liaison with banks to open Letters of Credits, Shipping Lines for booking
cargo spaces and Custom brokers for custom formalities.
- Preparation of annual budgets required for the effective administration of the
procurement division in coordination with the Finance Department
- Preparation of Monthly/ weekly reports and coordination of sales staff
meetings on analysis of sales effected, pricing techniques, report on all
quotations, enquiries received, lost quotations, and explanations/ feedback from
staff and clients
- Delegation and follow up of business leads with other junior sales staff and
the results achieved.
- Monitoring of budget allocated for Procurement/ Marketing Division and
explanations of over/ under spending.
- Preparation of projected budget for Marketing Division including, Business
Promotions, Sales Staff Travel and Advertising
- Details of competitors, new competitors, and market trend analysis and their
effect on overall business strategy
- Preparation of key data base for Sales Division incorporating names, contact
details of key staff members who have decision making authority and who have
influenced to make decisions, change of clients staff, and profiles of clients
staff members who have had good relations with sales staff with the objective of
distributing gifts and compliments.
- Liaison with Commercial Attaches and Embassies to obtain details of upcoming
trade events and trade leads/ projects
- Attending trade fairs and exhibitions and on occasions representing the
company at overseas trade fairs.
- Coordination of advertising and propaganda work relating to products and
services promoted through media (print/ electronic) and also with advertising
agencies to obtain the best strategic focus for the company and for the products
and services promoted by the company.
- Monitoring and updating of upcoming projects report for the country by
refereeing to press cuttings from newspapers, business journals, country market
reports, and through reliable sources and dissemination of such information to
potential suppliers/ contractors and interested parties with whom the company
may wish to enter into business relationships for mutual benefit.
- Identification of new opportunities
- Pre-qualification of contractors, and registration of the company as a vendor/
contractors
- Bidding for Government / private sector public tendering and ensuing tender
pricing and commercial decision making in line with required tender documents.
